Purpose of Leave Policy

The Leave Policy describes leave types, eligibility, entitlements, request and approval processes, documentation expectations, and responsibilities for employees and managers at [Company Name]. The policy exists to ensure consistent, fair, and transparent handling of all employee leave while supporting operational needs and employee wellbeing.

Scope and Eligibility

Eligibility for specific leave types, accrual rates, and waiting periods will be defined in the employee contract, local policies, or the employee handbook.

Types of Leave and Entitlements

Approval Process

  • HR reviews complex or extended leave requests, interprets policy, and confirms leave pay treatment and record updates.

  • In emergencies, managers may grant provisional leave; HR will review and confirm the final status and required documentation.

Pay and Benefits During Leave

Pay treatment during leave depends on the leave type and employee entitlements. Paid leave is processed through payroll per normal cycles. For unpaid leave, benefits continuation, pension contributions, and accruals may be suspended or adjusted in accordance with company practice. Employees will be informed of any changes to pay or benefits before leave begins when possible.

Job protection and reinstatement rights are subject to the terms of the employment agreement and applicable company policy.

Exceptions and Special Circumstances

Where circumstances are not covered by this policy or an employee requests an exception, the matter should be referred to HR. HR will assess operational impact, fairness, and consistency before approving any exception. Exceptions are documented and approved at the discretion of HR or senior management.

Recordkeeping and Confidentiality

HR maintains accurate leave records and confidential supporting documentation. Access to medical and personal information is limited to those with a business need to know. Records are retained and disposed of in line with company recordkeeping practices.

Non-Compliance

Failure to follow this policy may result in denial of leave, loss of pay, corrective action, or disciplinary measures up to and including termination. Examples of non-compliance include falsifying documentation, failing to notify the manager of an absence without reasonable cause, or exceeding approved leave without an approved extension.
