The Senior Executive Assistant is responsible for ensuring the efficient day to day operation of an executive office and enabling senior leaders to focus on strategic priorities. This role combines proactive diary and travel management, confidential correspondence handling and coordination of meetings and communications.

The purpose of the role is to deliver reliable, anticipatory administrative support, to act as a trusted point of contact for internal and external stakeholders and to contribute to process improvements that enhance executive productivity and office effectiveness.

The Senior Executive Assistant will manage a broad range of administrative functions that support senior leadership. Responsibilities include advanced diary management, preparation and distribution of agendas and briefing materials, minute taking, and coordination of multi-party meetings and events. The role requires careful prioritisation and the ability to respond to changing demands with discretion and composure.

In addition to daily administrative duties, the post-holder will co-ordinate small projects, liaise with internal teams and external stakeholders, and maintain accurate records and confidential files. The role will involve supporting executive communications, preparing reports and presentations, and monitoring action lists to ensure follow through and timely completion of tasks.

Senior Executive Assistant: Duties and Responsibilities

  • Manage complex calendars and schedule meetings, ensuring efficient allocation of executive time and prioritisation of commitments.
  • Arrange and co-ordinate domestic and international travel, itineraries and accommodation with attention to cost and timings.
  • Prepare and distribute agendas, briefing packs and minutes for meetings, ensuring accuracy and timely circulation.
  • Draft, format and proofread correspondence, reports and presentations on behalf of senior leaders.
  • Act as the primary point of contact for internal and external stakeholders, managing enquiries and escalations professionally.
  • Handle confidential and sensitive information with integrity and discretion at all times.
  • Support board and senior management meetings, including document preparation, logistics and follow up on actions.
  • Coordinate and support small to medium projects, tracking milestones and liaising with project owners to ensure progress.
  • Manage expense submissions, purchase requests and basic budget monitoring in line with policy.
  • Organise executive-level events and workshops, including venue arrangements, participant communications and on-the-day coordination.
  • Maintain accurate filing systems and records, ensuring documents are stored and retrieved efficiently.
  • Review and refine administrative processes to improve efficiency and reduce risk.
  • Provide line-management or mentoring support to junior administrative staff where required.
  • Anticipate executive needs and proactively resolve scheduling or information gaps to support decision making.

Senior Executive Assistant: Requirements and Qualifications

  • Proven experience of at least five years in executive support or senior administrative roles supporting C-suite or senior leadership.
  • Strong organisational and time management skills with the ability to manage competing priorities under pressure.
  • Excellent written and verbal communication skills, with high attention to detail and presentation.
